The Intake and Administration Support role is a full-time permanent position which is subject to ongoing funding. The position attracts a base salary between $70,000 and $75,000 p.a., plus super and salary packaging, 5 weeks annual leave (with 17.5% leave loading) and two wellness days per annum.

The Role

Reporting directly to the Program Manager of Carer Support Counselling and Young Carer teams, and working closely with each of the team leaders of the services, the Intake and Administration Support Officer is responsible for providing professional intake and administration support to both practitioner outreach teams. This is a varied role, that has the ability to create “value add” by supporting two highly functioning teams.

You will also be required to liaise professionally with internal and external stakeholders including teams operating within Carers WA, carers and their families, partner organisations and a wide variety of service providers. As such, the role requires highly developed organisational and Microsoft suit of skills including MS Form skills, fast and accurate typing and data entry and superior written and verbal communications skills.

Completing telephone intakes for both the counselling (adult and young carers) and young carer teams (8 -25yrs) will require you to work collaboratively with both teams as well and to actively listen and communicate empathetically with carers and their families. For the young carer team, this will require you to engage with parent / guardians as well as external referrers (schools, community youth and mental health providers) to register the young carer and family on our data base before a referral can be actioned. Some contact will be required with young carers if deemed an independent minor or are aged 18yrs +.

For the counselling team, referrals are from internal sources, are already pre-registered, however the counselling intake form is to be completed in conversation with the carer, priority rating applied, support numbers provided, waitlist managed and database completed.

In addition, from time to time there will be opportunities to provide outreach practical support at young carer events and expo’s, or complete community based admin functions that help to free up a practitioner e.g. Driver License applications and payments.

This role would suit a person with front line skills and experience of working with a diverse range of family dynamics including youth settings to undertake telephone intake and admin support while responding to carers using trauma informed practice principles.

Essential Criteria

  • Demonstrated experience and skills to maintain relationships with key stakeholders as well as engage in safe, trauma informed conversations with carers (adults) and families of young carers as well as young carers.
  • Demonstrated experience and ability to work from a Youth Work Code of Ethics and National Principles of Child Safe Organisations perspective.
  • Proficient typing and advanced computer skills including database entry, MS Office in particular Excel, Word, and Outlook.
  • Clear and articulate written and verbal communication skills.
  • Highly developed internal and external customer service skills focused on supporting two high functioning outreach teams.
  • Superior organisational skills and exceptional attention to detail.
  • Ability to multi-task, prioritise and pro-actively balance competing tasks.
